Important Information for thesis authors


What can be deposited

Your thesis must be a James Cook University PhD or Masters (by research only).


What format to use

Before depositing you will need to:
  • See Graduate Research School - Submission of Thesis guidelines.
  • Convert your thesis into Adobe Portable Document Format (PDF). This is the JCU ePrints document standard. It allows for relatively easy conversion, preserves the appearance of the original document and is readable by Acrobat Reader software which is freely downloadable.
  • The Adobe Tryouts page  provides access to Create Adobe PDF Online, a free trial  which enables you to convert 5 documents to PDF.

What file names to use

You must conform to the approved Australian Digital Thesis Program filename standard

File sizes should be kept as small as possible.

If the thesis file is less than 4.0 MB, create two files:

  • First PDF file containing title page, abstract, acknowledgements, table of contents, preface, and any other introductory text that is not part of the main body of the thesis. Call this file 01front.pdf.
  • Second PDF file containing the whole of the thesis (including what is contained in the front.pdf file) and call this 02whole.pdf.

If the thesis file is more than 4.0 MB, divide it into smaller files for chapters:

  • First PDF file containing title page, abstract, acknowledgements, table of contents, preface, and any other introductory text that is not part of the main body of the thesis. Call this file 01front.pdf.
  • Number the subsequent files in the sequence they need to be displayed e.g.:

    02chapter1.pdf for chapter 1
    03chapter2.pdf for chapter 2
    04chapters3-6.pdf for chapters 3-6
    05references.pdf for references
    06appendix.pdf for appendix
  • Files not named correctly will not upload correctly.

Copyright issues

  • Check your thesis for any material that is subject to copyright such as tables, maps, illustrations, photographs that are not your own work.
  • You will need to obtain written permission from the copyright owners for online publishing of any material that is not your own.
  • If written permission cannot be obtained those sections will need to be removed before converting to PDF.

PDF security settings

  • Please submit thesis without the document security settings in place.
  • The Library will set the document security before your thesis goes into public view.
  • The default security setting that will be placed on all theses is read and print only. Changes, including copying and pasting text or images from the document, will not be possible.

Restricting access to your thesis

JCU ePrints enables worldwide access to your thesis. However some theses need to be restricted wholly or in part for a period of time. JCU ePrints allows the following access:

  • No restrictions - worldwide access;
  • Restrict all access for a certain period,
  • Certain theses files can be completely restricted [e.g. due to copyright].
  • ADT Copyright and Access Guidelines.
